We already know that the use of Targeted E-mail has been successful in the past. These e-mails are what many students rely upon as their source of information for job and internship opportunities. The first thing that many students ask when they come into the office is whether or not there are any job or internship opportunities in their major. At this point, we let them know that all opportunities are sent out via targeted e-mail, jobs and internships are added to our binders based on the four schools that the majors are grouped into and internships are posted on our bulletin board. I know of one professor in the Computer Science department who has formed his own list serve that he uses to pass the targeted e-mails onto students. I personally replied to a student who said he had received the e-mail from this professor and used our office e-mail address in the message tagline to make further inquiries about the position. \n\nTwo job internet job search engines that many people, employers and students alike, are very familiar with are Monster.com and ~HotJobs.com. Neither of these sites would involve any work on behalf of the Career Services Staff. We would simply direct students to use them. It is quite likely that either, if not both of, these sites are already being used by a substantial number of our students because they have found them on their own. Both sites provide some functionality that over lap with E-Recruiting. The upcoming analysis of functionality provided by Monster.com and ~HotJobs.com are given from the job seekers (students and alumni) points of view. When the study was conducted, employers were also asked about their point of view. However, we are more concerned about getting the students into E-Recruiting. It is quite likely that employers post the jobs on multiple sites or databases, so we do not have to do much work to convince them to use E-Recruiting. \n\nJob seekers on Monster.com provided with the functionality to search for jobs internationally, as opposed to the fact that they can only search for jobs nationally within E-Recruiting. Regional languages are used on Monster.com to make it more user friendly to job speakers who have a native language other than English. Monster.com has wordy navigation, however there were not many complaints about the overall functionality of the site. The process of researching companies quite structured in Monster.com and allows you to search by company name, location and industry. On Monster.com there is a resume builder which is part of the site that will generate a resume for the student to post. Monster.com provides some extensive career advice. \n\nUsers of ~HotJobs.com are also provided with the functionality to search for jobs internationally, which again is a broader scope than what is provided within E-Recruiting. ~HotJobs.com has navigation which is relatively simple and user friendly. In ~HotJobs.com, there is not a structured method to use when searching for employers. Posting your resume in ~HotJobs.com is done via cut and paste. There is some general career advice provided by ~HotJobs.com. \n\nFrom the recruiters’ point of view, there are fewer differences between the two sites. Monster.com has 11 million job seekers on their site, and it costs $295.00 for 60 days (as of 2001). On ~HotJobs.com there are 2.7 million job seekers and it costs $195.00 for 30 days (as of 2001). However, both sites are lacking the Targeted E-mail that our office provides to connect job seekers and recruiters. It appears as though the best choice for our office and our students is to take advantage of the features which are already offered as part of E-Recruiting. The saved searches feature can improve both the time it takes to process a targeted e-mail and also the consistency of the search results. \n\nWhen the Human Resources Department of Nationwide Insurance wanted to increase their online job recruitment efforts, they started over from the ground up. The entire website Nationwide.com was redesigned, with the strategy being to post ‘buckets of information’ on the site. These ‘buckets’ provide details about career openings throughout the company. In the past, Nationwide had used several technology, insurance, and finance websites, as well as Monster.com to connect with job seekers. While using these sites, Nationwide continued to further formulate their recruitment strategy. It was at this time that the company decided to build Nationwide.com with the key purpose of attracting job seekers who would be interested in working for them. After the first development of the site, Nationwide conducted a feasibility study and fond that many job seekers found the site needed some clarification. Even though on the main page of the site, there was a link labeled ‘career opportunities’, many users were still confused on exactly how they should conduct their search for a job on the site. In March 2000 the site was updated and now the path to career openings was clarified and shortened. Now it was only two clicks away from the home page. Thirty one percent of recent hires at Nationwide have come through their corporate site. However, they still had the desire to cast a wider net. A strategic relationship was developed with ~CareerBuilder in order to reach those job seekers who did not go directly to Nationwide.com to find a job opening. This relationship allows them to reach users of all 70 sites that are part of the ~CareerBuilder network. Another benefit of this relationship is that Nationwide can now target specific demographic groups. Nationwide is also using ~CareerBoard.com, a local portal in Columbus, Ohio, to advertise the huge majority of entry-level positions available in that local area. \n\nBoth Monster.com and ~HotJobs.com career advice lack the personal attention and interaction with a real person that a student or alumni will receive when they come into our office for a resume critique or attend the annual career fair or professionals for a day job shadowing event. The Career Services office simply lacks the resources to build their own website or database like what was done by Nationwide Insurance. It is possible that there are other services out there besides what is discussed here, similar to what the Experience Network offers with its E-Recruiting database. However, to fully investigate this possibility would require a substantial amount of time from both myself and members of the office staff. The office staff and employers would need to be trained on this new database system. One or more staff members would have to be responsible for migrating the data from Experience Network E-Recruiting to the new database system. In addition to the time that would have to be invested, there is also the possibility that money will need to be invested as well. \n\nChanging behavior of workers in the career services office will not be without its challenges, however, they will not be insurmountable. Once the professional staff becomes familiar and comfortable with this new process, then it would be time to train the student assistant staff members. When the student assistant staff members feel as though the professional staff members are invested in this new process, they will be more likely to follow through with it because it will seem more worthwhile. The key here is that since we are mainly only changing one step in the process, it will not be too difficult for current staff members to adapt their behaviors to fit in with this new project. I believe the training time would be not be wasted. Actually, we would benefit from taking the time to retrain staff members because after the new process is implemented because we will be saving time whenever a targeted e-mail has to be processed. \n\n Each time a person performs a search manually, it creates another chance for a mistake to be made. By semi – automating the search process (step 3) through the use of the Saved Searches feature in E-Recruiting, the accuracy of the entire process increases. Not only will the accuracy increase, but so will the consistency of results. Also, it will save a considerable amount of time during the actual processing of the targeted e-mail. Continuing to use E-Recruiting is the most cost effective, both in terms of monetary value and time. \n

The excerpts of pages 9 through 11 in their booklet may be useful as an example of how we could better get the word out to our students about E-Recruiting. These saved searches will need to be performed on a somewhat regular basis in order to ensure that recently registered students will also be receiving the targeted e-mails. It is hard to say how often these searches should be performed; I would think that they would need to be done at a minimum of every two weeks. However, this would depend on how many new registrations the office has within that time frame. After an event such as orientation, it would make sense to run the searches again. In the summer when things are slower in the office, it may only be necessary to run the searches once a month. It will take some trial and error after the process is implemented in order to find the correct time intervals to rerun the saved searches. Also, the search names should be saved with the date, majors and graduation dates. That way, just by looking at the name of the search, the student maintaining the searches will know if a search needs to be rerun. The process of rerunning the searches is actually quite simple. After viewing the search, under ‘more search options’ just click on ‘modify your search’. This will bring you back to the main search screen, but keep same name of the search and replace all of the old results with the new ones.\n\n Staff members will have to be retrained, however that can easily be done by following the steps outlined above. This briefing book should be retained for use as a training manual or guide. There will be times when the search criteria will not fit into any of the saved search results. In that case, the student worker will need to identify the need to run a new search. This will add another challenge to the training process, because they will need to be informed about the criteria involved when deciding to a search from scratch. In essence they will need to learn how to do searches both ways, manually and saved. However, this extra training will still prove to be worthwhile because it is most often the case that employers will not list the specific majors that they would like the opportunity to be sent to. Typically, they will just provide a list of skills needed for the job position. It is not necessary that all student workers learn how to rerun the searches. Perhaps only one or two students need to focus on maintaining the saved searches. Sharing the work between students so that every student does not need to become an expert at everything the office does is a practice that is currently implemented quite successfully. For example one student is trained on how to update the website and is responsible for maintaining that; a few other students primarily work on preparing for the annual career fair, when several students are working in the office, one will be responsible for answering the phone, etc. \n\n Another critical issue is the fact that no matter how efficient and consistent we make the process not all students will receive targeted e-mails. This is mainly because many SUNYIT students have not registered with the Career Services office. I do know that through my work done at the office that attempts are being made to get the word out to more students about the Career Services website. Once on the website, they can easily find the link to register with the office. Even if this service is better advertised, the challenge still lies with changing student behavior. Once students fill out the registration form on the Career Services website, it does not mean that they will automatically receive targeted e-mail. Their registration is not complete until they follow the instructions that they receive in the e-mail that is sent to them by the office after the registration form is received. Iin that e-mail there is a link to e-recruiting and a token to let the student log in for the first time. After the student logs in they need to provide e-recruiting with their major, graduation date, etc in order for that information to be added to the database. Several students have come into the office asking why they have not been receiving targeted e-mails. Some of them never completed their registration and others provided incorrect information when filling out their profile. One common mistake that will prevent students from receiving targeted e-mails is that they have entered their e-mail address incorrectly. Another common mistake is that their major or graduation date will change but the student has not updated it. \n\n Some students are reluctant to use E-Recruiting. This reluctance mainly occurs with our non-traditional students. These students are not nearly as familiar with the Internet or computers as the traditional students are. The non-traditional students with full time jobs and families also may not have the time to learn how to use E-Recruiting. In actuality, it is really simple to navigate once you log in, however, some of them become overwhelmed when you are just trying to explain to them what E-Recruiting is. There is also a lack of trust among them with anything based on the Internet. Privacy concerns and the idea that once something is on the Internet anyone can read it is also a common reason that non-traditional students opt not to use E-Recruiting. There are also employers who share some of the same concerns as our non-traditional students do when it comes to the use of E-Recruiting. \n\n Professors also receive targeted e-mail. The purpose of this is that the office hopes professors will inform students who are not registered with our office about the job or internship opportunity we have sent. I hope most professors do this, but that does not seem to be very likely. Even if professors were to announce in class that they heard about a job opportunity and direct their students to the Career Services office to inquire further about it that would help to get the word out. Once the student is in our office, it takes less than five minutes for a staff member to take them to the computer and get them registered. I have also heard a professor say that he just discards anything from Career Services and never bothers to read them. This statement probably discouraged a few students from registering with our office. \n\n Another problem we have seen a few times actually lies within E-Recruiting. If there is an error when a student tries to log in, an error is generated with a link directing students to their college’s career center webpage. A few students have contacted us asking why the link does not work. After several staff members looked at the message, it was found that E-Recruiting was generating an incorrect link for SUNYIT Career Services. The professional staff members with administrative rights to the SUNYIT portion of E-Recruiting could not find a place where this link could be corrected. Some people think that E-Recruiting is something run on campus and is entirely controlled by SUNYIT Career Services; however, it is a web-based database controlled by the Experience Network who runs E-Recruiting. These kinds and similar kinds of errors are very difficult to detect unless a student or employer informs Career Services, and it appears that they are even more difficult to correct because those errors are not under our control. \n

The services provided within E-Recruiting go far beyond what a job seeker would find on the average internet job and resume posting site. Students and alumni can register by going to http://careerservices.sunyit.edu/students/register.swn and clicking on the ‘registration form’ link. Registration is free for current students and $35 a year for alumni. However, this is only the first step of registration with our office. It is important that we stress to students that their registration will not be complete until they follow the link in the e-mail that they receive from our office and log into E-Recruiting. Once they are in E-Recruiting and set up their profile, then their registration will be complete and they will be added to the E-Recruiting Database. After being added, students can search for employer contact information to inquire about jobs and internships, post their resumes for employers to read , view job and internship postings provided by employers, view on campus recruiting dates, sign up for Career Services workshops, and receive targeted e-mails based on their major and other information that they provide. Students can search for employers and post their resume to the entire nationwide Experience Network, not only the employers who are registered with SUNYIT. Targeted E-mails are a service that our office provides; it is not a feature that comes built into E-Recruiting.

The purpose of this briefing book is to answer the question of how SUNYIT Career Services can increase the efficiency of the Targeted E-mail process. Two things that first come to mind will probably be to reduce the time it takes to process each Targeted E-mail and to increase likelihood that the correct groups of students and/or alumni are consistently receiving the messages targeted towards them. Our current process does produce satisfactory results. I am not proposing that we do away with this process, just that we amend it. This briefing book will further explore how we will achieve the previously stated objectives. The information used to analyze the current process and how effective changing the process mainly comes from my job experience of working at Career Services for the summer and fall semesters of 2006. Other sources used came from the Internet and ~ProQuest database. <html>\n\n Although employers can go into the database post job opportunities at any time, it is often the case that they will e-mail the job or internship opportunity to our office and we then pass that on to our students. The way that we pass on these opportunities to students is through Targeted e-mails. \n <p><b>Manual Searches (Current Process)</b> (<a href="http://www.geocities.com/cherylaportfolio/idt585/idt585carsvsscreens.ppt">To view screenshots of the process click here</a>.)\n <ol>\n <li>Open Lotus Notes e-mail for the Career Services account and check for job and internship postings from employers. Print the job posting.\n <li>Log into E-Recruiting.\n <li>Search for eligible students/alumni.\n <ol>\n <li> From the main login screen click on the Students drop down menu and then select search for students.\n <li> Click on the Students button\n <li> On the search for students screen, click the multiple tab\n <li> Select Academic Information \n <ul>\n <li>There are options of other information to search for, but we don’t really need any of those items to do a targeted e-mail.\n </ul>\n <li>On the next screen, there are many drop downs menus to choose the search query criteria from.\n <ol>\n <li>Graduation date from ____ to ______ (We generally do Aug. 1970 to next upcoming graduation date. So in the Fall semester, we do Dec. of the current year, etc.)\n <li>Degree (We usually skip this)\n <li>Student Status (We usually skip this)\n <li>GPA (We usually skip this)\ne. Major / Concentration (Select the major of the students you are searching for)\n <li>Major 2 (We usually skip this)\n <li>Minor (We usually skip this)\n <li>Major 3 (We usually skip this)\n </ol>\n </ol>\n\n <li> Open the ~MS word document with the tagline. Each targeted e-mail has a tagline that identifies the message as something sent by the SUNYIT Career Services Office.\n <li>Open word document with professor’s e-mail addresses. We also send job and internship opportunities out to faculty members to share with their students who may not be in E-Recruiting. \n <li>A student worker will manually compose the e-mails. After e- Recruiting has returned the list of students who fit your query criteria, select all students, choose send an e-mail and then click the go button. The e-mail addresses of the students returned by the search query will be automatically inserted into the e-mail message. Then on the next screen, select compose custom e-mail. Now you are to the screen where the e-mail will actually be composed. \n <ol>\n <li>Provide a group name and subject line (For example: job opening at ______ for a ______)\n <li>Paste in the e-mail addresses of faculty who are in the department of the majors that you searched for in the field labeled ‘send to additional recipients’. \n <li>In the box labeled e-mail message, paste in the tag line. \n <li>Below the tag line, paste in the job description (From ~MS Word, Adobe Reader or the body of the e-mail message from the employer.)\n <li>Check to make sure that contact information is included in the job description. If it is not, paste it below the job description. If contact information was not included with the job or internship posting, search E-Recruiting for the name of that contact person or company. <li>Push send. \n <li>On the next screen (e-mail history), push refresh a few times until it gives you the number of e-mails sent and failed for that message. Follow the link to the details for that message; it will give you a list of all the addresses that e-mail was sent to. This way, you can confirm that the e-mail really was sent. Print the list of the e-mail addresses that the message was sent to. Staple the job posting and the E-mail results together and place the job posting in the appropriate binder. The four binders are the School of ISET, School of Business, School of Nursing and Health Systems and the School of Arts and Sciences. \n <li>Record in the ‘targeted E-mail’ folder spreadsheet all of the information related to that job posting \n </ol>\n <li>Go into Lotus Notes and move the e-mail message with the job posting in it to the to \n\n‘Jobs Processed’ folder.\n </ol>\n\n<p><b>Using Saved Searches (Proposed New Process)</b>\n<p>\n Every step except for 3 will remain unchanged from the old process. However, it is key that the \n\nchanges do take place in step 3. By using save searches, we increase the accuracy of results, and \n\ndecrease the processing time. Only changing this main (and most time consuming) step will not require any \n\ndrastic retraining of the current staff, both student and professional.
